About the role:
We are an early-stage startup looking for a force multiplier for our CEO. This is not a typical administrative role; it is an apprenticeship in entrepreneurship.
We are looking for a strategic Executive Assistant who views this position as a launchpad. You will start by mastering the fundamentals - managing a chaotic calendar, triaging inboxes, and handling logistics to free up the CEO’s time. However, your role will quickly evolve. You will sit in on high-level meetings, help build pitch decks, conduct market research, and help prepare the CEO and other members of the executive team for public engagements.
For the right candidate (a recent graduate or someone with a few years of business experience), this is a career track to a Chief of Staff type role.
Who you are:
- A "Low Ego, High Ambition" Self-Starter: You are willing to roll up your sleeves to schedule a flight or order lunch, but you have the intellect and drive to sit in a Board meeting and take notes.
- Business-Minded: You likely have a degree in Business, Economics, or a related field (or equivalent experience) and understand how a P&L works.
- Hyper-Organized: You love systems. You don’t just list tasks; you create processes to ensure they never fall through the cracks again.
- A Strong Writer & Storyteller: You can write a professional email on behalf of the CEO and have a knack for visual storytelling in PowerPoint/Keynote.
- Emotionally Intelligent: You can read a room, anticipate the CEO’s needs before they are spoken, and handle sensitive information with extreme confidentiality.
What you'll do
- The Foundational Items:
- Master of Time: Rigorous management of the CEO’s calendar, ensuring time is aligned with strategic priorities. You are the gatekeeper.
- Inbox Triage: Monitor email flow, draft responses, and prioritize what needs immediate attention versus what can be delegated.
- Logistics & Ops: Coordinate travel, supporting team offsites, and handle personal administrative tasks to keep the CEO focused on the business.
- Meeting Management: Ensure the CEO is prepped for every meeting with the right context, agendas are sent in advance, and action items are tracked afterward.
- The Growth Items:
- Content & Communications: Draft internal comms, board updates, and prepare briefing materials for speaking engagements and panels.
- Presentation Support: Draft and refining slide decks for investor updates, sales pitches, and all-hands meetings.
- Research & Analysis: Ad-hoc research projects on competitors, potential partnerships, or new market opportunities.
- Special Projects: Act as a proxy for the CEO on cross-functional projects, ensuring momentum across the team.
What you'll bring:
- Bachelor’s degree (Business, Finance, or Liberal Arts preferred).
- 0–3 years of experience (internships, startups, or consulting roles are a plus).
- Tech-savvy: Expert in G-Suite (Calendar, Sheets, Slides) and comfortable learning new tools quickly (Notion, Slack, CRM tools).
- Availability to work somewhat flexible hours as startup needs arise.
